Assessing and counting your stock helps you understand what's selling and what's not. It helps ensure you're not storing things that you could be selling, and it helps you know when to reorder so you don't have to deal with shortages.
Important! You can manage stock in Veezi only when you're using Inventory. You must complete at least one sale at a site before you can perform a stocktake.
Note: To check your stock levels, before or or after you complete a stocktake, log in to Veezi and go to Food & Items > Stocktake > Stock Status Report. This report is also available in the Reports list.
Allow staff to enter stock counts (optional)
If you like, you can let your staff enter stock counts in Veezi. To give users with POS Operator permissions access to stocktakes, go to Settings > Users > Back Office and enter account details. The POS operator can then log in to Veezi. The user has access only to enter counts in open stocktakes. POS operators can't see other Veezi features, and they can't open or finalize stocktakes.
Completing a stocktake
Tip: Did you know the stocktake experience has been optimized for mobile? Instead of printing a stocktake sheet, try taking your phone or tablet with you next time you count your stock.
- Log in to Veezi.
- Go to Food & Items > Stocktake > Create Stocktake.
Note: You can click an open stocktake to continue entering counts or to update the date and time details.
- Select a site.
Note: You can have only one open stocktake for each site.
- Enter a time in the recent past as the end date and time of the stocktake. For example, choose the most recent half-hour increment, or enter a time one minute in the past.
- Click Create.
- Enter a count for each item.
Tips:
- Use the filter fields to focus on particular item classes or items stored in a particular sub-location.
- Click Print Stocktake Sheet to generate a document you can use to record item counts. Print the stocktake sheet to record your counts on paper or save the sheet to Excel to enter your counts in a spreadsheet before entering the data in Veezi. Veezi generates one stocktake sheet for each sub-location.
- Only eligible items appear in the list. Eligible items are the items that are available to the site, have an inventory item type, and have been received, wasted, or sold. You must receive, waste, or sell stock before you can adjust the item count in a stocktake.
- Click Save to keep the changes you've made without finalizing the stocktake.
- When you've completed your counts, carefully review all the data you've entered. Then, click Finalize Stocktake. Veezi automatically adjusts the stock levels in your system.
Note: You can't edit a finalized stocktake. To correct any errors, receive or waste stock to adjust item counts.
Tip: Use the Stock Status report to review a list of your completed stocktakes. Go to Food & Items > Stocktake > Stock Status Report to run this report. This report is also available in the Reports list.
