When you run reports in Veezi, the system can automatically email them to any address you choose. Setting up scheduled reports provides the convenience of reviewing various aspects of your business at a time when you wouldn't typically log in, or it can help you share information with individuals who don't use Veezi at all, such as accountants or business partners who aren't involved in day-to-day operations but who need to see financial data.
Most importantly, you'll use scheduled reports to report box office data to distributors.
Review your report options and consider your operational needs before you complete the setup steps below. Typically, you won't need to make changes to your initial scheduled report distribution setup.
Set up scheduled report distribution
To automatically distribute scheduled reports, you'll create a record for every individual email address that you want a report sent to. You then have the option to combine email addresses into distribution lists. For example, you might create an email record for each of your cinema managers, and then combine them into a single Managers distribution list.
- Log in to Veezi.
- Go to Settings > Email addresses.
- Click Add email address, or click an email address to edit it.
- Enter a name and, optionally, a comment to identify who will receive reports.
To enter a single email address:
- Click the No button to indicate that this record is not a distribution list.
- Enter the email address in the Address field.
- Click Save changes.
To create a distribution list:
Note: You must enter each email address individually before you can add it to a distribution list.
- Click the Yes button to indicate that this record is a distribution list.
- Click Add email address.
- Click Add next to each email that you want to include in this distribution list.
- Click Save changes.
- Click Save changes again.

Change an email status
Businesses change. When that happens and you no longer need to send reports to a particular recipient, go to Settings > Email addresses, open the relevant email record, and change the status to Inactive. Inactive email addresses won't receive reports, even if they're included in active distribution lists.
Note: We recommend inactivating email records rather than deleting them. When you make emails inactive, you maintain a record of who has had access to your reports in the past.
Select reports to distribute
After you've entered email address and, optionally, created distribution lists, you can choose which reports the system distributes.
- Log in to Veezi.
- Go to Reports > Scheduled reports.
- Click Add scheduled report.
- Enter a name and select a report.
Examples: You might enter a name like "Disney Weekly Box Office" and select the Distributors by Film and Ticket Type report. Or you might enter a name like "Finance daily report" and select the Daily Closing report.
- Specify a report frequency and run time.
- Click Yes or No to determine whether the report is sent when no data is included. You'll likely don't need to send a report to a distributor, for example, for a week in which there were no sessions for any of their films.
- Select a format for the report.
- In the Report Parameters section, specify additional details to determine what data is included in the report. For example, you might need to select details like a date range, a site, or a film. The available parameters depend on the report you select. Consider who you're sending the report to and what information they need as you set parameters.
- Click Add email address.
- Select any of the individual email addresses or distribution lists that you created.
- Click Save changes.
